This document sets out the terms and conditions for the Ai4 Match Program between CloserStill Ai4, LLC and you when you register for any event or conference organized by CloserStill Ai4, LLC as a ‘Enterprise AI Buyer Pass’ holder.
By applying for the pass type listed above, you are agreeing to comply with these terms and conditions below as well as the terms and conditions applicable to all attendees outlined here. You should read this document carefully.
Eligibility Requirements
You must have been approved by a member of our team in order to hold an “Enterprise AI Buyer Pass.” The transfer of this pass type is only allowed with the written consent of a member of the Ai4 team. We reserve the right to revoke or amend your qualification for this pass type at any time. If you transfer a pass without our team’s written approval, we reserve the right to revoke the pass from the individual who the pass was transferred to.
Discounted or Free Tickets
Ai4 offers qualifying individuals a discounted or free ticket based on taking meetings with participating meeting suppliers and attending, if selected, one other private, invite-only special event (ex. lunch, dinner, reception, etc.) when onsite through the Ai4 Match Program. These private, invite-only special events include:
- Private and exclusive lunches hosted by Ai4 (not conference-wide or VIP lunches).
- Private and exclusive dinners hosted by Ai4.
- Private and exclusive receptions that take place after the conference concludes for the day (not conference-wide receptions).
Unless a member of our team specifies otherwise in writing, you will be required to take a minimum of six (6) pre-scheduled, 15-minute onsite meetings and attend one other, if selected, private, invite-only special event (ex. lunch, dinner, reception, etc. referenced above) through the Ai4 Match Program. In exchange, you will receive a free pass to attend ($3,395 value). Meetings with suppliers that occur outside of the pre-scheduled time and place will not count toward the six (6) required meetings.
Program Participation
As an Ai4 Match Program Buyer, you must comply with all instructions sent to you pre-event, including but not limited to the following:
- Complete a profile (“Profile”) containing relevant information about your company, job role, and meeting preferences.
- Bookmark a minimum of 25 suppliers that you have an interest in meeting with onsite.
- Remain available from 11AM to 11PM PT on Tuesday and 6PM to 11PM PT on Wednesday of the event for all meeting time slots and special events until you receive your final schedule.
- Accept all scheduled Match Meetings and, if selected, one private, invite-only special event referenced above through the Ai4 Match Program.
You agree to respond to all of our requests within our stated deadlines. Failure to meet fulfillment deadlines that will be provided in our guidelines and program information, or to provide requested information, may result in removal from the Ai4 Match Program, and you may be invoiced for the full or partial price of your Event ticket ($3,395) at the full discretion of the Ai4 team.
Meeting Substitutions
In the event that Ai4 schedules you for fewer than six (6) total meetings, you may be required to participate in up to three (3) private, invite-only special events (ex. lunch, dinner, reception, etc. referenced above) in place of the unscheduled meetings. These special events are designed to provide comparable networking and engagement opportunities. Participation in these private, invite-only special events will count toward your fulfillment of Match Program requirements.
Individual Responsibilities
If more than one person from your organization is participating in the Ai4 Match Program, each individual must complete their own set of Ai4 Match meetings. If you are unable to attend your scheduled meetings for any reason, you may lose your eligibility for a discounted ticket, and you will be invoiced for the full or partial ticket price ($3,395).
Only up to eight (8) individuals from one company may receive Enterprise AI Buyer passes. After that maximum is hit, any further attendees from that company must purchase a pass.
Time Slots & Availability
You agree to be available for all “meeting hours” and all private, invite-only special events referenced above until your final schedule is provided shortly before the event. Your meetings may be distributed across multiple time slots and are not required to be consecutive. If you are invited to special events, those may occur outside of standard meeting hours.
Cancellation
If you are approved as an Ai4 Match Program Buyer but can no longer participate in the Program for any reason (even if you are still employed by your organization), you must notify us at least 6 weeks prior to the Event. Alternatively, if it is within 6 weeks of the event, you may request a ticket transfer to a replacement attendee who holds the exact same title and company qualifications with written approval by the Ai4 team. If you fail to do so or your transfer is not approved, you will be charged a $250 cancellation fee. Once this fee is paid, you will remain eligible for the program in the future. You will not be able to pick up your badge to attend the event after cancelling unless you purchase a pass.
Employment Changes
If you (a) leave your employer or (b) anticipate no longer being employed by the organization that was approved for your Ai4 Match Program participation before or after the event, you must notify us immediately. In such cases, your participation will be canceled, and you will no longer be eligible for the Program or the discounted ticket.
Failure to Complete Scheduled Meetings
If you pick up your badge onsite or attend the event but fail to complete any of your scheduled Ai4 Match Meetings and/or invite-only special event referenced above:
- You will be invoiced for the full or partial price for the Event ticket ($3,395).
We may, at our discretion, prorate your ticket fee reimbursement based on the number of Ai4 Match Meetings you completed.
Please Note: Meetings that happen outside of our Ai4 Match Program time slots will not be counted towards your meetings unless coordinated by our team.
Sponsor & Exhibitor Marketing Communications
When you participate in the Ai4 Match Program, scan your badge at an exhibitor booth, or attend a sponsor-hosted session, your details (including name, title, company, and email address) may be shared with the relevant sponsor or exhibitor. These third parties may use your information for their own marketing purposes, including sending you commercial emails, promotional materials, and product updates.
Note on Opt-Outs: Marketing communications sent by third-party sponsors or exhibitors are governed by their respective privacy policies. You may opt out of receiving promotional communications from any third party at any time by utilizing the unsubscribe mechanism provided in their emails or by contacting them directly.
Updating Terms and Conditions
These Terms and Conditions may be amended from time to time. The “Last Revised” date at the bottom of this document will reflect any changes made. Your continued participation in the Event constitutes acceptance of any modifications to these Terms and Conditions.
